Quick answer

How do I manage a rental property myself?

Run it as a cycle: prepare and price the property, screen tenants against written criteria applied equally, protect the deposit, record a full inventory at move-in, track rent monthly with a fair arrears ladder, log repairs with priorities, inspect with notice, review rent on a schedule and settle deposits with evidence. The Rental Property Management System from Bodhih Training gives you a file for each step.

Sound familiar?

You already feel the problem. Here is what it is costing you.

Everything lives in your head and your chat history

Rent dates, deposit references, which repair was promised for when, which tenancy ends in March. It works until two things happen in the same week, and then a weekend disappears.

The rent does not seem to add up

The flat was meant to pay for itself. Then came the empty weeks, the society charges and the water heater. Without net figures and a reserve, every surprise feels like bad luck.

Choosing tenants by feel

Twenty enquiries, six applications and no written criteria. Decisions made on instinct are slow, hard to explain and can be unfair or unlawful.

Deposit arguments with no evidence

A stained carpet that 'was like that'. Without dated move-in photos and a signed inventory, the conversation at check-out has no ending you will like.

Arrears that drift

One late month becomes three because nobody noticed on day one and nobody wrote down what was agreed. Then the choices get harder for everyone.

Now imagine this

Picture the next few weeks with the kit open beside you.

Picture the morning after rent day. You open the Rent Roll, type in four payments and see one row turn amber. You send the friendly reminder from the library in twenty seconds, and by lunch the tenant has replied. Nothing has escalated, because you noticed on day one.

Now picture your next vacancy. As you walk the property with the readiness checklist, you already know the rent, because you priced it from six real comparables. The listing describes the home, the criteria go out with every enquiry, and when you reply to six applicants in the order they applied, each one gets a clear, respectful answer.

Imagine the check-out a year from now. You bring the inventory, the move-in photos sit beside today's, and the conversation is about evidence, not memory. The deposit goes back on time, with a short list of fair deductions the tenant can see for themselves.

And imagine the first Friday of each month. The owner statement fills itself from the sheets you already keep, the Dashboard shows arrears, open repairs and dates that need you, and the whole review takes as long as a cup of tea.

A taste of Chapter 4

A deposit is the tenant's money, held as security. Many countries require it to be protected: in England, a deposit must be placed in a government-approved scheme within 30 days of receiving it and returned within 10 days of agreeing how much the tenant gets back. In Australian states it is usually lodged with a state bond authority. Elsewhere it may be held by the landlord in a separate account, and the law may cap the amount or set a return deadline. Check the rules for your property in the dated country sheet and with your local authority or lawyer. Whatever the rule, record every deposit on the Deposits sheet of the workbook: the amount, when you received it, how and where it is held, the reference, and the date protected. Set your local deadline on the Settings sheet and the sheet flags any deposit not protected in time.

Questions buyers ask

The Rental Property Management System: FAQs

Read the free guideAlready bought? Resend my link

How do I manage a rental property myself?

Treat it as a cycle: prepare and price, screen fairly, agree terms and protect the deposit, move in with a full inventory, collect rent, maintain and inspect, renew or review, and handle move-out with evidence. Keep the numbers underneath. Each stage has a chapter and a file in the kit.

How do I screen tenants fairly?

Write your criteria before you advertise, publish them, process complete applications in the order received, verify the same things for everyone with consent, and record a reason tied to the criteria for every outcome. Never decide on who someone is. The kit includes a fair screening policy, an application and screening sheet and a screening log.

What should I do when a tenant is late with rent?

Act early and the same way for everyone: a friendly reminder the day after, a phone call a few days later, a calm letter if nothing is agreed, and a written payment plan where it is realistic. Take advice before any formal step and never change locks or cut off services. The decision card and letters set this out.

What is the difference between gross and net yield?

Gross yield is a year's rent divided by the price. Net yield takes off running costs such as empty weeks, maintenance, insurance, property tax, service charges and management, and divides by the full cost of buying. The calculator shows both, plus cash flow after loan payments and DSCR.

Does it work in my country and currency?

Yes. Every tool has a currency setting and the legal deadlines live on the Settings sheet, so you set them to your local rules. The book teaches the logic, and the dated country sheet covers England in detail and what to check in the US, India, Canada, Australia, the UAE, Singapore and Africa.

Is this legal or tax advice?

No. It is educational and helps you organise the work. Agreements, letters and policies are plain-language starting points for a lawyer or accountant to check. Laws on deposits, notices, rent increases, safety and fair housing change, so check your lawyer, accountant and local authority before acting.

How do I measure my starting point?

AssessAll offers assessments that match this kit: Property Advisory and Client Handling Assessment for Real Estate Agents, Brokers and Sales Teams; Financial & Collections Account Readiness, Contact Centre; and Inclusive Decision-Making and Everyday Bias Assessment for Employees and Managers. Take one before you start and again after a few months. They are separate products, not included in the kit, and the links are on the Start Here map.

How do I turn the monthly routine into habits?

Plan the trigger for each task with an if-then plan, such as 'on the 6th, after breakfast, I open the Rent Roll'. Jobulary's guide to if-then plans explains the idea and how to turn it into a development plan; the link is on the Start Here map.

Which software do I need?

The workbooks open in Excel, Google Sheets or LibreOffice and use no macros. The forms are fillable in Acrobat Reader and most PDF apps, the templates open in Word or Google Docs, the calendar imports into Google Calendar, Outlook or Apple Calendar, and the CSV imports into Trello, Asana, Notion, Planner or Jira.

What is the refund policy?

Digital kits are non-refundable once downloaded. The exceptions are corrupted files that are not fixed within 3 working days, duplicate charges, or failed delivery.

How much does The Rental Property Management System cost?

₹999 including 18% GST for buyers in India, or $29 for buyers outside India. One-time payment, no subscription, with an automatic invoice.

How do I get the files after paying?

Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.

What software do I need?

Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.

Can I get a refund?

Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.

Can my company buy this for a team?

Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
