The Payroll and Statutory Calendar Kit · Bodhih Pro Kits · 179 by Bodhih Training, trainers to 2,000+ companies since 2008.
What is the payroll process step by step?
Monthly payroll runs in six stages: collect inputs by a cut-off with a source for each, build the register from a Settings sheet that holds every rate, check it against last month, have a different person approve it, pay from the approved register with two people at the bank, then file and record with evidence. The Payroll and Statutory Calendar Kit from Bodhih Training gives you a file for each stage.

You already feel the problem. Here is what it is costing you.
Pay day keeps slipping
Inputs trickle in after the register is built, the file is rebuilt three times and the bank upload happens at 6 pm on pay day. Nobody can say which day the month broke.
One person holds the whole chain
The same person adds the employee, sets the pay, builds the file and releases the money. It works until it does not, and when it does not, nobody else can run next month.
Rates typed into formulas
A ceiling changed in April and the spreadsheet still used the old one in December. Twelve cells, one quiet error, a year of wrong contributions to correct.
A filing in someone's head
The return was due on the 31st, its owner was on leave, and the first anyone heard of it was a penalty notice. The calendar existed, in one person's memory.
The overpayment conversation
A duplicate overtime entry paid someone 7,200 too much. Recovering it quietly from next month's pay turned a mistake into a grievance.
Picture the next few weeks with the kit open beside you.
Picture the 12th of the month. Instead of hoping inputs arrive, you send message 1 from the library with the cut-off date, and on the 20th HR and you sign the input sign-off form: every joiner, leaver, change and overtime sheet with its source. When you open the Register the next morning, it is already built from Settings and the inputs, and the only thing left to do is read the flags.
On the 23rd your checker opens the Variance Check sheet. Nine measures against last month, three flagged, each with a one-line explanation. Five lines recalculated by hand. On the 24th the approver compares the net total with the bank file total and signs. As you upload the salary file on the 25th, someone else releases it, and the bank reference goes on the form.
Imagine the first working day of next month. The Dashboard shows two filings to start now and the days to the next due date. You begin at the start-by date, not the due date, so when the portal is down there is still time. Each acknowledgement goes on the Filing Log, and by the 8th the Reconciliation sheet shows Matched on every line.
Whether you start with the Settings sheet tonight or the Start Here map tomorrow morning, the first hour is already planned, and the month after that is quietly boring, which is exactly what payroll should be.

When you have worked through it, you will be able to…
Every outcome is practised with a worked example and a tool, not just described.
- Draw your payroll month with a cut-off, a pay day and a named owner for each stage
- Hold every rate, ceiling and threshold on one Settings sheet and change one cell when your country changes a rule
- Build a gross-to-net register with employer costs that you read rather than type
- Explain every month-on-month variance in one line before the approver signs
- Split preparing, checking, approving and releasing between people, with the compensating control written down when the team is small
- Build a statutory calendar with lead times, backups and alerts, and keep the evidence that proves you filed
- Calculate a joiner's pro-rata pay and a leaver's final settlement line by line
- Handle an overpayment with a conversation, a letter and a recovery plan that respects local limits

Three rules turn input collection from chasing into a process. The cut-off. Pick a day, put it on Settings and in everyone's calendar, and hold it. Inputs received after the cut-off go into next month unless the approver agrees otherwise in writing. This feels harsh the first time a manager misses it; after one cycle managers adjust. The source. Every row on the Monthly Inputs sheet has a column for the source: "overtime sheet signed by shift lead", "HR letter dated 3 November", "expense claim TC-118 approved by director". No source, no entry. This habit prevented more errors at Kavira Foods than any formula, because it stopped the duplicates (two entries from two sources for one overtime sheet) and the phantom changes (a pay rise someone remembered hearing about).
The honest comparison
| Free templates and typical advice | This kit | |
|---|---|---|
| Collecting inputs | Chase by email until pay day | A cut-off on Settings, a source column on every row and a signed input form |
| Rates and ceilings | Typed into formulas, forgotten | One Settings sheet with the date each rate was confirmed; the register reads it |
| Checking | Scan the register and hope | Line flags, a nine-measure variance check and five lines recalculated by hand |
| Approval | The preparer approves their own work | A four-section approval form with six ticks, including three different people |
| Filings | Due dates in one person's head | A calendar builder with lead times, owners, backups, alerts and a filing log with evidence |
| Country rules | US-only assumptions | A process that works anywhere, with dated notes for 9 countries kept separate from the method |
| Errors | Fix it quietly next month | An error record, scripts for the conversation, a recovery schedule and a control change |
Made for you if…
- Finance managers and accountants in industry who run payroll alongside the rest of the finance job
- Office and admin managers who inherited payroll without training
- Founders and owners of companies with 10 to 300 people who approve payroll and want to know what they are signing
- Bookkeepers and fractional CFOs who run payroll for several clients
- Teams paying people in India, the UK, the US, the Gulf, Singapore, the Philippines, Kenya, Nigeria or Australia
- Companies moving from one person's spreadsheet to a controlled process with a checker, an approver and a filing calendar
Probably not for you if…
- Anyone looking for tax, legal or accounting advice: the kit teaches the process and points you to your accountant, payroll provider and local law, with country notes dated October 2026
- Companies that need payroll software: the workbook runs the controls, the calendar and the checks alongside your software or provider, and it does not compute income tax tables
- Readers wanting bookkeeping basics or a chart of accounts: the Small Business Books in a Box kit covers that ground; this kit goes deep on paying people and filing on time

The Payroll and Statutory Calendar Kit: FAQs
Read the free guideAlready bought? Resend my linkWhat is the payroll process step by step?
Collect inputs by a cut-off with a written source for each, build the register from an employee master and a Settings sheet of rates, check it against last month, have a different person approve it, pay from the approved register with two people at the bank, then file and record with evidence. The kit gives each stage a chapter, a sheet and a form.
Does the workbook calculate income tax for my country?
No. Income tax tables differ by country and by person and change every year, so the workbook takes your standard monthly withholding per employee from your tax tool, provider or computation and lets you override it in any month. Contributions, flat levies and employer costs are calculated from editable rates and ceilings on the Settings sheet.
Will this work outside India, the UK and the US?
Yes. The method is the same everywhere; the country-specific rates, ceilings and due dates live on Settings and the Statutory Calendar, which you fill from the dated country notes and your adviser. The notes cover India, the UK, the US, the UAE and Saudi Arabia, Singapore, the Philippines, Kenya, Nigeria and Australia, with a what-to-check list for other markets.
How do I build a statutory compliance calendar?
List every payment and filing in a year with its authority, frequency, period, due date, lead time, owner and backup owner. The Statutory Calendar sheet calculates the start-by date and an alert (Scheduled, Start now, Overdue, Done), and the Filing Log holds the acknowledgement and evidence for each. Chapter 7 walks through it in three passes.
We outsource payroll to a provider. Is the kit still useful?
Yes. Outsourcing moves the work, not the responsibility. The kit's inputs sign-off, variance check, approval form, filing log and reconciliation are the parts you cannot outsource, and the process document includes a 12-point provider agreement checklist with escalation messages in the library.
How should I recover an overpayment from an employee?
Talk first, then write. Explain the error, apologise, propose a fair recovery plan in instalments if the amount is large, confirm it in writing and deduct only with written agreement or as local law allows. The library has the script and the letter, the calculator builds the schedule, and the kit says throughout to check your HR team, adviser and local law.
Is this tax, legal or accounting advice?
No. The kit is educational: it teaches a payroll process and good controls. Rates, ceilings, due dates and deduction rules differ by country and change often, so the kit keeps them in a cheat sheet dated October 2026 and asks you to confirm everything with your accountant, payroll provider and local law before you run live payroll.
How can I measure my starting point?
The AssessAll Payroll and Pay-Run Accuracy Assessment tests how you read a register and spot errors, and the Attention to Detail and Error Checking assessment measures the habit behind it. Indian teams can add the India Labour Codes Compliance Certification. They are separate products, linked from the Start Here map.
Can I turn this into a development plan for my finance team?
Yes. Use the Audit Checklist score and the quarterly error pattern to pick the controls to strengthen, then see how a Jobulary development plan works to turn those gaps into a plan with milestones for each person who touches payroll.
What does the worked example cover?
One month and a year-end at Kavira Foods, a composite 45-person company: the input sign-off, the register and variance check, the approval form, a joiner's pro-rata pay, a leaver's final settlement, an overpayment recovery, the filing log and the six-week year-end plan, all shown filled in so you can see what good looks like.
How much does The Payroll and Statutory Calendar Kit cost?
₹999 including 18% GST for buyers in India, or $29 for buyers outside India. One-time payment, no subscription, with an automatic invoice.
How do I get the files after paying?
Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.
What software do I need?
Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.
Can I get a refund?
Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.
Can my company buy this for a team?
Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
