Quick answer

What is the client lifecycle for a freelancer or agency?

The client lifecycle is the path every client takes with a service business: enquiry, qualification, discovery, proposal, agreement, onboarding, delivery, review, renewal and offboarding. Managing each stage on purpose prevents most scope, payment and expectation problems. The Client Lifecycle System from Bodhih Training gives you a method, a file and the words for every stage.

Sound familiar?

You already feel the problem. Here is what it is costing you.

Enquiries eat your week

Every enquiry gets a call, most go nowhere, and the good ones wait too long for a reply. There is no way to tell quickly which are worth your time.

Small requests swallow the margin

Each 'quick tweak' seems reasonable. Together they add weeks and wipe out the profit, and saying no feels like risking the relationship.

Hard moments arrive without words

Late payment, late feedback, a client who goes silent or turns rude. You lose an evening drafting one email, and it still sounds either too soft or too sharp.

Clients leave without warning

Renewals are assumed, prices never move, and the first sign of trouble is a polite email saying they are reviewing suppliers. One large client quietly becomes a third of your income.

Now imagine this

Picture the next few weeks with the kit open beside you.

Picture Monday morning. Instead of scrolling your inbox to remember who needs what, you open the Client Lifecycle Workbook. The register shows two clients stuck past their stage limit, one renewal talk due and one enquiry waiting past your reply standard. Ten minutes and three messages from the library later, every flag has an action.

Now it is Wednesday and a client asks whether you could 'quickly' add something new. As you open the scope change form, you notice how calm the conversation feels: welcome, log, size, three options. The client chooses a later phase. Nobody is upset, and nothing was given away by accident.

Imagine the end of the month. You score every active client on the health sheet. One is Amber because feedback has slowed and only one person on their side is engaged. You invite their founder to the next review. Six weeks later the score is Green and the renewal conversation starts from a strong place.

And then the renewal itself. You send the review report two days early, ask the recommend question, and propose two options with a price change and plenty of notice. Whether you start with the e-book this evening or the workbook tomorrow morning, the next client starts from a system rather than from scratch.

A taste of Chapter 4

A good proposal for a small studio does four things. It restates the problem and the success measures from discovery, in the client's words. It offers two or three options at different levels of scope and price, so the conversation becomes "which one" rather than "yes or no". It is clear about what is not included. And it says what happens next: how to accept, when work starts, and what you need from the client. Choose the engagement type deliberately. A project has a defined output and an end. A retainer buys ongoing capacity or access over a period. A productised service is a fixed package with a fixed price, such as a brand audit or a monthly content pack. Each needs different terms: projects need change control, retainers need clear limits on hours or outputs and a rollover rule, productised services need a tight definition of what the package includes.

Questions buyers ask

The Client Lifecycle System: FAQs

Read the free guideAlready bought? Resend my link

What are the stages of the client lifecycle?

This kit uses ten: enquiry, qualification, discovery, proposal, agreement, onboarding, delivery, review, renewal and offboarding. Each has an exit test, a file and the words you need, and the workbook tracks how long each client has been in each stage.

How do I stop scope creep without upsetting clients?

Make every change visible and chosen. Welcome the idea, log it, size it in hours, fee and dates, offer three options (add now, swap, or a later phase) and get a decision in writing. The scope change form and the messages in the library are built for this.

How should a freelancer chase a late payment?

Use calm, stepped messages: a reminder before the due date, a neutral note the day after, a call and a message to accounts payable at about a week, a firm notice with a pause on new work at two to three weeks, then professional advice. The library has each message, and the dated country notes summarise legal rights to check.

What should a client onboarding process include?

A welcome pack within a day of signature, a structured kickoff covering goals, scope, roles, communication norms, access and risks, a one-page working agreement, and the delivery rhythm booked in both calendars. The workbook tracks nine onboarding items per client.

How do I raise prices with existing clients?

Tie the change to the renewal date, give generous notice, explain briefly without apology, and offer a choice such as a lighter scope at the current fee. The calculator's price rise sheet shows the extra revenue and how much value could leave before the rise stops paying for itself. It is a planning aid, not a forecast.

How do I measure my starting point?

AssessAll offers separate assessments that match this kit: Freelance & Client Work Judgment, Discovery & Questioning Skill, and Client Confidentiality and Conflicts of Interest Assessment for Professional Services. Take one now and again after a few months of using the system. Links are on the Start Here map.

How do I turn this into lasting habits or a development plan?

Pick two or three rules from the decision card and write them as if-then plans, such as 'if a request is out of scope, then I log it on the change form'. Jobulary's guide to if-then plans explains the method, and the link is on the Start Here map.

Are the contract templates legally valid?

No. The working agreement and the agreement terms sheet are plain-words starting points for you and a qualified lawyer to turn into your standard terms. Contract, IP, late-payment, data protection and tax rules differ by country, so check your lawyer, accountant and local rules. The kit is educational, not legal or financial advice.

Can I use AI with client work?

Yes, for drafting, summarising and spotting patterns, with care. Ask before recording calls, remove confidential details or use a tool your client has approved, check your agreements for AI clauses, and read every word before anything reaches a client. Chapter 10 and the prompt pack set out the rules.

Which software do I need?

The workbooks open in Excel, Google Sheets or LibreOffice and use no macros. The forms are fillable in Acrobat Reader and most PDF apps, the templates open in Word or Google Docs, the calendar imports into Google Calendar, Outlook or Apple Calendar, and the CSV imports into Trello, Asana, Notion, Planner or Jira.

What is the refund policy?

Digital kits are non-refundable once downloaded. The exceptions are corrupted files that are not fixed within 3 working days, duplicate charges, or failed delivery.

How much does The Client Lifecycle System cost?

₹999 including 18% GST for buyers in India, or $29 for buyers outside India. One-time payment, no subscription, with an automatic invoice.

How do I get the files after paying?

Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.

What software do I need?

Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.

Can I get a refund?

Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.

Can my company buy this for a team?

Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
