Quick answer

How do wedding photographers organise their workflow?

Run every wedding as one loop: price packages against their true cost, answer enquiries within a day, sign a clear contract, build the day from fixed points with buffers, keep three copies of every card, edit by due date and close with the album and review. The Wedding Shoot Workflow Kit from Bodhih Training gives you a file for each step.

Sound familiar?

You already feel the problem. Here is what it is costing you.

Packages that cost more than they earn

A ten-hour wedding is weeks of editing, admin and album work. Without a price floor you cannot see which packages pay you and which you are paying to shoot.

Days that run late at the formals

No numbered list, no name-caller and no buffer before the formals, and fifteen minutes becomes forty. The light goes, and so does the couple's patience.

Cards, drives and a tired brain at midnight

One formatted card before the copies finished is all it takes. Without a routine and a log, backup depends on how tired you are.

Galleries delivered late in peak season

Editing in wedding order instead of due-date order quietly breaks the promise in your contract. The apology emails start in July.

Now imagine this

Picture the next few weeks with the kit open beside you.

Picture the next enquiry. You open the workbook, see the date is free, and send a warm, specific reply you have already edited into your own voice. Within a day there is a call booked, and the quote you send has already been checked against its floor.

As the wedding gets closer, you notice how calm the planning feels. The questionnaire is back, the timeline is built from the fixed points with buffers, the formals list is numbered, the name-caller is named, and your second shooter has the brief and the agreement.

Then imagine the night after the wedding. You copy every card to two drives, start the cloud upload, check the counts and watch the Card Log turn to Safe to format. On Monday, the Pipeline sheet tells you which gallery to edit first.

Whether you start with the price calculator tonight or the message library tomorrow morning, each file you open replaces something that used to live only in your head.

A taste of Chapter 5

A wedding day timeline is a chain of fixed points with flexible moments between them. Fixed points are the things you cannot move: the ceremony start set by the officiant or registrar, sunset, the reception entrance, a venue curfew. Flexible moments fill the gaps: getting ready, portraits, details, the meal break. Build the fixed points first, then fit the rest around them with buffers. The Timeline sheet works the same way. Type a Fixed start for the first moment of each day or track and for anything with a set time. Leave it blank for everything else, and the sheet starts that moment when the row above ends plus its buffer. Parallel tracks, like the groom getting ready across town while you photograph the bride, each get their own fixed start.

Questions buyers ask

The Wedding Shoot Workflow Kit: FAQs

Read the free guideAlready bought? Resend my link

How do I plan a wedding photography timeline?

Put the fixed points in first (ceremony start, sunset, reception entrance, curfew), add 10 to 15 minutes of buffer before each, then fit getting ready, formals and portraits around them. Give parallel tracks their own start times. The Timeline sheet calculates every time from the fixed starts, durations and buffers you type.

How long should family formals take?

With a numbered list and a family member calling names, many groups take one to three minutes each, more for very large groups. Sana's sample of 14 groups was estimated at 31 minutes and took 33. Set your own minutes per group on the Settings sheet once you have timed a few weddings.

Does the kit work for multi-day and multi-venue weddings?

Yes. The timeline builder handles several days and parallel tracks, the calculator's Multi-Day Estimator prices each event, and the worked example follows a three-day Hindu wedding with a five-person team alongside a single-day civil wedding.

Can I use this with my staff, crew or second shooters?

Yes, within your own studio under the personal licence: brief your crew with the forms, share the timeline and use the templates with your team. For company or multi-site licences, email solutions@bodhih.com.

Does it work in my country?

The method works anywhere and every workbook takes your currency and tax placeholder. The dated notes sheet covers examples from the UK, US, India and the EU on copyright, drones, consumer rules and AI disclosure. Contracts, consumer law, tax and drone rules differ by country, so check your lawyer and local rules before you rely on any template.

Are the contract templates legally binding?

No. They are plain-words discussion sheets that help you decide your answers before a lawyer in your country words a binding contract. That is cheaper and safer than adapting someone else's contract from the internet.

How does the kit handle AI culling and editing tools?

It shows where AI can help (sorting, first-pass culling, colour matching, noise reduction, drafting), where a person must decide (what the couple sees, any change to people, anything published) and how to cover consent and disclosure in your contract. It is tool-agnostic.

How do I measure my starting point?

Three AssessAll assessments fit the people side of this work: Customer Interaction Judgement (Contact Centre) for couple conversations, Task Prioritisation and Planning for peak season, and Behaviour Under Pressure for the day itself. They are separate products at assessall.com.

How do I turn this into a development plan?

Pick one habit from the kit, such as replying to enquiries within a day or editing by due date, and write it as an if-then plan. Jobulary's guide to if-then plans shows how: jobulary.com/blog/implementation-intentions-if-then-plans-at-work.

Will this get me more bookings?

No kit can promise bookings, income or awards. It gives you the methods, files and words to run each wedding consistently, so the work you can control is done well every time.

How much does The Wedding Shoot Workflow Kit cost?

₹999 including 18% GST for buyers in India, or $29 for buyers outside India. One-time payment, no subscription, with an automatic invoice.

How do I get the files after paying?

Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.

What software do I need?

Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.

Can I get a refund?

Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.

Can my company buy this for a team?

Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
