Quick answer

How do you produce a webinar or virtual summit people actually attend?

Start with a one-page brief, choose the format from the goal, score platforms after a test event, schedule a four-point reminder sequence with local times, give every speaker a tech check and rehearsal, run each session from a cue sheet, caption everything, and follow up within three hours. The Webinar and Virtual Summit Kit from Bodhih Training gives you the tools for each step.

Sound familiar?

You already feel the problem. Here is what it is costing you.

Registrations look great, then a fraction show up

One reminder in one time zone, no calendar file, and nobody knows which channels bring people who attend. The kit gives you the sequence and measures show rate by source.

Speakers sound like they are in a tunnel

Laptop microphones, windows behind them and slides built for a hall. The speaker guide and tech-check checklist fix it before the day.

Live problems with nobody in charge

Silence while three people each think someone else will unmute the speaker. A cue sheet with one lead per moment and practised failure drills changes that.

Captions, consent and AI rules feel risky

An accessibility checklist, a recording and privacy starter for your adviser, and a dated sheet on what to check where.

Now imagine this

Picture the next few weeks with the kit open beside you.

Imagine it is 13:24 on the day. As you open the run of show on your second screen, the captioner's test line is already visible, every speaker is in the green room, and the backup link has been tested.

Picture the week before: the reminder sequence goes out with local times for every region, the Speakers sheet shows Ready for everyone, and the rehearsal has already caught the panel that ran eleven minutes long.

Now think of the Monday after. When you open the Dashboard, the traffic lights tell you how you did against your own targets, the follow-ups have gone, and the post-event review takes 45 minutes instead of a week of guessing.

Whether you start with the brief tonight or the slot planner tomorrow morning, the first hour is mapped for you on the Start-here page.

Best for
Webinars, virtual summits and the online leg of hybrid events
  1. Start With the Brief, Then Choose the Format

Write a one-page brief and choose the format from the goal: webinar, panel, workshop, summit, series or hybrid leg.

  2. Pick the Platform Without Regret

Score platform categories against weighted criteria, test with your own team and treat data protection as a selection criterion.

  3. Registration Pages and the Show-Rate Problem

Build an event page for the first screen, run the four-point reminder sequence and measure show rate by source.

  4. Speakers and Moderators Who Are Ready on the Day

Give every speaker a brief, a tech check, a rehearsal with failure drills and a day-of card, and track readiness.

  5. The Run of Show and the Production Crew

Write a cue sheet for every session and keep producer, host, moderator and tech support roles distinct.

  6. Sound, Picture and Slides That Work on a Small Screen

Fix sound, light, framing and slides so presenters work on a laptop window or a phone.

  7. Engagement by Design, and Keeping the Room Safe

Plan a touchpoint every ten minutes, moderate Q&A and chat, and handle disruption with four practised moves.

  8. Accessible, Global and Respectful of Privacy

Captions, accessible pages, humane time slots, recording notices and consent, with the law kept in the dated sheet.

  9. Summits, Hybrid Legs and Sponsors

Give summits a spine, treat the online leg of a hybrid event as first class, and serve sponsors honestly.

  10. After the Live Moment: Replay, Follow-up, Numbers and AI

Move fast after the event, treat the replay as a product, measure against the brief and keep a person in charge of AI.

Measure it

Know your starting point. Prove your progress.

People who measure before and after improve faster and can show it. AssessAll, our sister assessment platform, has AI-graded assessments that pair with this kit. Take one now, work through the kit, then re-take it.

Read a page

A taste of Chapter 3

Most people decide in the first screen of an event page. Put the title, the one-line promise, the date with the time in several time zones, and the registration button there. Below it: who it is for and not for, what they will leave with, the agenda, speakers, accessibility, recording and privacy, and a short FAQ. The Event-Page-Invitation-and-Message-Library.docx has a block-by-block template. Keep the registration form short. Ask what you will use: name, email, organisation, role, country or time zone, an access needs question, and consent boxes that start unticked. Every extra field costs you registrations; every missing field you need costs you later. Then fill in the form yourself on a phone before you share the link.

Questions buyers ask

The Webinar and Virtual Summit Kit: FAQs

Read the free guideAlready bought? Resend my link

Can I use this with my team or my clients' events?

Yes, within your own organisation or business under the personal licence, including events you produce for your own clients. Company-wide and multi-site licences are available from solutions@bodhih.com.

Does it work in my country?

The method is universal. Every workbook takes any currency and time zone. The dated rules sheet covers accessibility, privacy and AI rules in general terms for the EU, UK, US and India, with where to check; laws change and need local checking with your adviser.

Which webinar or event platform does it assume?

None. The kit works with platform categories (webinar platforms, virtual event platforms, meeting tools, streaming, community and hybrid platforms) and includes a scoring sheet so you can compare the products available to you.

What is a good webinar attendance rate?

Set your own target from your first few events. For context, ON24's 2026 benchmarks, based on its own platform's 2025 data, reported an average registration-to-attendee conversion of 60%. Definitions vary, so measure live show rate and attendance including on-demand separately.

How do I increase webinar attendance?

Pick a slot that suits your biggest regions, attach a calendar file to the confirmation, send reminders one week, one day and one hour before with local times, and tag links by source so you can see which channels bring people who attend. The kit includes each tool.

Is the legal content advice?

No. The privacy notice, consent and accessibility material are educational starting points for your data protection lead or legal adviser. Rules on recording, marketing consent, accessibility and AI disclosure differ by country and change.

How do I measure my starting point as a presenter or producer?

Measure your starting point with AssessAll: the Presentation Delivery Assessment with a Spoken Round, Training Facilitation and Group Handling, and the Digital Competence Assessment for Office, Frontline and Field Roles are useful checks for hosts, moderators and producers.

Can I turn this into a development plan for my team?

Yes. Use the post-event review to spot skills to build, then turn them into a development plan with Jobulary, which shows how a structured plan works step by step.

Does it cover hybrid events?

It covers the online leg of hybrid events in depth: camera and audio plans, the online moderator, line checks and alternating Q&A. The venue side is covered in The Conference and Corporate Event Kit.

Will this guarantee attendance, leads or sponsorship?

No kit can. It removes avoidable causes of poor results and gives you the numbers to improve from one event to the next.

How much does The Webinar and Virtual Summit Kit cost?

₹999 including 18% GST for buyers in India, or $29 for buyers outside India. One-time payment, no subscription, with an automatic invoice.

How do I get the files after paying?

Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.

What software do I need?

Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.

Can I get a refund?

Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.

Can my company buy this for a team?

Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
