  • A budget, attrition and break-even calculator that shows cost per attendee at five turnouts, the F&B minimum shortfall and room block exposure before you sign
  • 4 fillable PDF files (17 pages): event brief and debrief, venue site visit checklist, speaker and supplier briefings, event risk assessment
  • 52 ready-to-edit messages, a 20-question attendee FAQ, 27 AI prompts with a human review rule, and a 7-page event-day print pack

Quick answer

How do you plan a corporate conference step by step?

Agree a one-page brief with measurable objectives, plan backwards from the date, price several turnouts, read the venue contract terms, brief speakers and suppliers, run registration with consent, assess risks with the venue, run the show from one document and report against the brief. The Conference and Corporate Event Kit from Bodhih Training has a file for each step.

Sound familiar?

You already feel the problem. Here is what it is costing you.

A venue booked before the event had a reason

When the brief is a sentence in an email, every later decision is argued from scratch. Venues, speakers and budgets get chosen for the wrong audience, and nobody can say afterwards whether the event worked.

Contracts that cost money months later

Room blocks, attrition, food and beverage minimums and cancellation scales are easy to sign and hard to read. The bill for unused rooms or uneaten food arrives after the event, when nothing can be changed.

A cost per attendee nobody saw coming

Most event costs are fixed. When fewer people come, the event can come in under budget and still cost more per head. Without a model, that surprise lands in the report.

Show days run from memory

Without one run of show, one caller and a control room, small slips cascade: a stage not reset, a stream frozen, a speaker not briefed. Each is minor; together they shape what people remember.

Now imagine this

Picture the next few weeks with the kit open beside you.

Imagine opening one workbook on a Monday morning and seeing the whole event at a glance: which tasks are Red, how registrations compare with target, which supplier balances are due this week, and which risks are still open. As you type your event date into Settings, every due date on the critical path moves with it.

When your sponsor asks what happens if 50 fewer people come, you open the calculator and answer in thirty seconds: the total, the cost per head, and what the food minimum would still charge. When the hotel sends its contract, you read the attrition clause with the decision card beside you and ask the right question before anyone signs.

Picture the morning of the event. The crew has the briefing card and the emergency card in hand, the registration desk has its five steps, the green room has its checklist, and the show caller has the run of show on the wall. When something slips, and something always does, the control room knows who decides.

Then imagine sending a report that puts every number next to its target and its source, including the one you missed and what you will change. Whether you start with the brief this afternoon or the workbook tomorrow morning, the next event begins from a plan.

A taste of Chapter 4

The sample Budget sheet has 18 lines. The budget at 350 guests was 325,700 dollars: 178,000 fixed, 232 per attendee and 95 per attendee per day over two days. The actual was 304,510, which is 21,190 or 6.5% under budget. Food and beverage came in 11,350 under because the final guarantees followed real numbers (335 for the day packages, 300 for the dinner). AV ran 3,200 over when two LED panels were added at the technical rehearsal. Speaker travel ran 1,550 over. Contingency of 22,000 was drawn for 6,100: 1,470 for the room block shortfall, 2,830 for AV overtime on Day 1 and 1,800 for an extra shuttle on Day 2. And yet cost per attendee rose, from a planned 931 to an actual 958, because 318 people came on Day 1 rather than 350. That one sentence is worth more in the post-event report than any adjective.

Questions buyers ask

The Conference and Corporate Event Kit: FAQs

Read the free guideAlready bought? Resend my link

How do I plan a corporate conference from scratch?

Start with a one-page brief signed by the budget owner, then plan backwards from the date, price several turnouts, choose and contract a venue, design the programme, open registration, brief suppliers, assess risks and run the show from one document. The kit has a file for each of those steps and a worked example of a 350-person conference.

How far ahead should I start planning a conference?

For a few hundred people, many teams start five to six months out, mainly because venues and speakers book early. The kit's critical path starts at 24 weeks, but it recalculates from whatever date you type, and it shows at once which tasks are already late if you have less time.

What is attrition in a hotel contract?

Attrition is the share of a room block you can release without paying. If you contract 100 rooms with a 20% allowance, you pay for at least 80 whether they are used or not. How it is measured, per night or across the stay, and whether resold rooms count, makes a real difference. The calculator models it; your lawyer reads the clause.

How do I calculate cost per attendee?

Divide actual spend by the number of people who attended. Plan it at several turnouts, because most costs are fixed: an event can come in under budget and still cost more per head if fewer people come. The workbook and calculator do this for you.

Can I use this with my staff, team or clients?

Yes. You can use the kit within your own business or team, including the agency projects you run for clients, under the personal licence. Company-wide and multi-site licences are available from solutions@bodhih.com.

Does it work in my country?

The method works anywhere and the workbooks take any currency and metric or imperial units. The dated rules sheet covers the UK, EU, US, India, UAE and GCC, Singapore, Australia and three African countries at November 2026. Venue licensing, safety, data protection and package travel rules still need checking locally with your venue, authority and adviser.

Does it cover hybrid events?

Yes, for in-person events with an online audience: hybrid formats, the stream in the technical rider, captions, holding slides, online attendance measures and stream risks. Online-only events are covered by The Webinar and Virtual Summit Kit.

Is this legal, safety or tax advice?

No. The kit teaches good practice and gives you templates to adapt. Contracts, safety arrangements, licensing, data protection and tax depend on your country, venue and situation, so check with your venue, local authority, lawyer and accountant.

How can I measure my starting point as an event lead?

If you want an objective view of your skills, AssessAll offers assessments that fit this work: Project & Delivery Leadership, Crisis & Pressure Judgment and Procurement & Vendor Management Judgment. They are separate products, not included in the kit.

How do I turn what I learn into a development plan?

Jobulary helps you turn a skill gap into a practical development plan. See how a Jobulary plan works at jobulary.com/how-it-works.

How much does The Conference and Corporate Event Kit cost?

₹1,299 including 18% GST for buyers in India, or $34 for buyers outside India. One-time payment, no subscription, with an automatic invoice.

How do I get the files after paying?

Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.

What software do I need?

Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.

Can I get a refund?

Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.

Can my company buy this for a team?

Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
