Quick answer

How do you run a salon as a business?

Count your chair-hours, cost every service as product plus labour on active minutes plus overhead on chair minutes, price with notice, apply a written deposit policy evenly, rebook at the chair, and read five numbers every Monday. The Salon Operations System from Bodhih Training gives you the workbook, forms and templates to do it.

Sound familiar?

You already feel the problem. Here is what it is costing you.

The book is full and the bank balance is not

Busy Saturdays, tired team, and still no clear idea where the money goes. Without cost per service and revenue per chair-hour, a full book can hide services that barely cover their cost.

Prices that grew by accident

Each price was set years apart, rarely reviewed, and putting them up feels frightening. So costs rise and margins shrink quietly.

No-shows and a policy nobody applies

A deposit rule exists somewhere, applied to some clients and not others. Empty long appointments cost the most, and inconsistency feels unfair to everyone.

Pay you cannot explain

Commission or tiered pay copied from somewhere else, with no regular check against the legal minimum, and a chair rental question nobody has looked at properly.

Routines that live in one person's head

Opening, closing, the cash-up, stock counts and the cleaning routine depend on who is in, so things slip on the busiest days.

Now imagine this

Picture the next few weeks with the kit open beside you.

Imagine Monday morning. As you open the workbook with a coffee, the dashboard already shows last week's revenue per chair-hour, utilisation, rebooking rate, average ticket and no-shows. You pick one to work on, glance at the due list, and you are back on the floor before the first client.

When you cost your menu for the first time, you see exactly which services pay the rent and which ones only look busy. You test a price change on the calculator and read how many bookings you could lose before it stops paying, and you send the notice from the message library with four weeks to spare.

Picture the desk on a busy Saturday: the deposit policy on the wall, the same words on the booking site, the cash-up card by the till and the rebooking card on every station. Your team knows what to say, and every exception is a written decision, not a mood.

Whether you start with the Settings sheet tonight or the print pack tomorrow, you are building one system, one file at a time, and it keeps working when you are not in.

  • You will be able to run a rebooking routine at the chair and work due and lapsed clients each week
  • You will be able to check each employee's pay against the minimum and compare a chair employed with one rented
  • You will be able to run stock counts, the cleaning routine and a seven-step cash-up as daily habits
  • You will be able to read five numbers every Monday and run a monthly review with three actions

A taste of Chapter 2

Product is what goes on or into the client: colour, developer, toner, shampoo, conditioner, styling product, foils, gloves, neck strips. Weigh colour for a week and you will know your real cost per root tint, which is usually more than people guess and occasionally less. Labour is the stylist's hourly cost (pay plus employer costs) multiplied by the active minutes: the time the stylist is actually working on that client. During processing, a skilled stylist can be cutting someone else. Overhead is the overhead per chair-hour multiplied by the chair minutes: the whole time the chair is held, including processing. The chair cannot be used by anyone else while foils are developing. That distinction, labour on active minutes and overhead on chair minutes, is the single most useful idea in salon costing. It explains why colour services with processing time are often better for the business than they look, and why short services can be worse.

Questions buyers ask

The Salon Operations System: FAQs

Read the free guideAlready bought? Resend my link

Is this kit treatment, skin or medical advice?

No. It is educational and covers the business and administration of a salon, spa or barbershop. It contains no treatment, dermatological, medical or nutrition advice and no list of what is safe for any client. Consultation, patch tests, screening and referral follow your training, your insurer, the product manufacturer's instructions and your professional body.

Can I use this with my staff?

Yes. Under the personal licence you can use the files with your own team inside your own business: print the forms and cards, share the handbook and SOPs, and use the workbook. Company and multi-site licences are available from solutions@bodhih.com.

Does it work in my country?

The method works anywhere and the workbook takes any currency, tax rate and opening hours. The dated sheet covers the UK, US, India, the UAE, Singapore, Australia and Canada, correct at October 2026, with general pointers for other countries. Licensing, employment, tips, tax and consumer rules still need checking locally with your authority and adviser.

How do I price salon services?

Work out your overhead per chair-hour, then cost each service as product, plus labour on the stylist's active minutes, plus overhead on the minutes the chair is held. Divide by one minus your target margin and add tax if your prices include it. The calculator in the kit does this for every service and shows the break-even share before you change a price.

What is a good rebooking rate for a salon?

It depends on your services, clients and interval, so the kit does not give a benchmark. Measure your own rate for eight weeks (clients who left with their next appointment booked, divided by clients), then set a target you can reach with a rebooking routine at the chair.

Does it work with my booking system?

Yes, alongside it. The workbook needs a few numbers most systems export: hours available and booked, clients, rebooked clients and sales per stylist per day, plus your client list. You type or paste them in; nothing connects to your software.

Will it tell me whether to employ stylists or rent chairs?

It shows the money side of one chair employed or rented, and a discussion sheet for an owner and a renter. Whether a renter is genuinely self-employed is a legal test about control and how the work happens, so the kit points you to the official guidance in the dated sheet and to an adviser.

How do I measure my starting point as an owner or manager?

Use AssessAll's Small Business Operating Decision Assessment for Shop, Service and Studio Owners to see how you make day-to-day operating calls, and Business Arithmetic (percentages, profit and loss) if the numbers feel shaky. For front-desk and retail staff, the Retail Counter Selling situational judgement test is a useful baseline. These are separate products at assessall.com.

How can I turn this into a development plan for myself or a senior stylist?

Pick the two or three areas the kit shows you most need, such as pricing, coaching conversations or the weekly numbers, and turn them into a plan with Jobulary. See how a Jobulary development plan works at jobulary.com/how-it-works.

Can AI tools help run a salon?

Yes, for drafting: messages in your voice, menu descriptions, notices, captions, rota drafts and summaries of your numbers. The prompt pack has 26 prompts, each with what to check. A person approves every output, no client or health data goes into an AI tool, and prices, pay, refunds and suitability decisions stay with you.

How much does The Salon Operations System cost?

₹1,299 including 18% GST for buyers in India, or $34 for buyers outside India. One-time payment, no subscription, with an automatic invoice.

How do I get the files after paying?

Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.

What software do I need?

Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.

Can I get a refund?

Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.

Can my company buy this for a team?

Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
