How do you run a long tabletop RPG campaign without it fizzling out?
Agree the game at a session zero, write a one-page charter, plan arcs rather than plots, link every character's goal to a quest, schedule with a quorum and reserve dates, prep clues not scenes, and review at each arc end. The Tabletop Campaign Manager from Bodhih Training gives you the forms, workbook and scripts for each step.

You already feel the problem. Here is what it is costing you.
The campaign that quietly stops
A cancelled week becomes a missed month and nobody wants to be the one to ask. A quorum rule, reserve dates and a campaign clock that shows your real finale date keep the game on the calendar.
One player's story every week
The loudest player gets the scenes and the quiet one watches. A spotlight tally and a linked quest for every character make the gap visible so you can fix it kindly.
Prep that eats your week
Scripted scenes the players never visit. A ninety-minute prep sheet built on a strong start and secrets and clues puts your time where the table will use it.
Threads you forget
NPCs with no voice, quests that went cold, a promise made in session four. Registers with last-seen and last-touched numbers flag what needs bringing back.
Picture the next few weeks with the kit open beside you.
Picture Thursday evening before a session. Instead of scrolling two hundred group messages, you open the dashboard and see it in one glance: five players confirmed, one recap still to send, one quest gone quiet for six sessions. You know what to prep before the kettle boils.
As you fill in the prep sheet, the strong start writes itself around the quiet player's thread, the encounter pressure check tells you the fight you planned is far harder than you meant, and the whole thing takes ninety minutes instead of a ruined weekend.
On Saturday the signal cards sit by the dice, the online player starts at the right local time even in clock-change week, and the stars and wishes cards come out in the last ten minutes. On Sunday you log the session in fifteen minutes and send the recap.
Whether you start with the session zero form tonight or the workbook tomorrow, each piece makes the next one easier, and the finale you planned stays on the calendar.

Most prep that never reaches the table is prep of scenes: what will happen, in what order, with what dialogue. Players do not follow scenes. What does reach the table, whatever the players do, is the situation: who wants what, what is true, what changed since last time, and what the characters could discover. Two ideas from the game master Mike Shea, who writes the Sly Flourish site, are worth borrowing in your own words. Start strong: open the session with a scene already in motion. And prep secrets and clues, not scenes: a list of things the characters could find out, each of which could turn up in more than one place, so the clues go wherever the players go.
The honest comparison
| Free templates and typical advice | This kit | |
|---|---|---|
| System | Templates tied to one game's rules | Works with any system; reproduces no game's rules, setting or creatures |
| Safety | A line about the X-Card | Private cards, agreed signals, follow-up scripts and credits for each tool |
| Scheduling | A blank calendar | Quorum checks, an availability poll, local start times and a campaign clock |
| Prep | A single prep page | A prep sheet, prep log and an encounter pressure worksheet that learns from how fights felt |
| Spotlight | Not covered | A tally, per-session balance and flags for stale personal threads |
| Example | Empty fields | A full composite campaign in every sheet, form and chart |

The Tabletop Campaign Manager: FAQs
Read the free guideAlready bought? Resend my linkDoes it work with my game system?
Yes. The kit is system-agnostic and reproduces no game's rules, setting or creatures. It handles everything around the rules: session zero, safety, arcs, scheduling, prep, the log and the review. Use your system's own guidance for characters and combat.
What is a session zero and do I really need one?
A session zero is a meeting before play where the table agrees tone, content, safety tools, schedule and habits, and makes linked characters. For a long campaign it is the best hour you will spend, because mismatched expectations are far cheaper to fix before play than during it.
Which safety tools does the kit cover?
Lines and veils, the X-Card idea, verbal pause and script-change tools, the open door and stars and wishes, with credits to their creators and a pointer to the free TTRPG Safety Toolkit. The kit shows how to use them before, during and after a session, and how to follow up kindly.
How does the encounter pressure worksheet work without rules?
It compares how much the opposition can do each round with the party, weighted by your own threat estimate, the terrain and whether there is an exit. It is a planning check in general terms, not any game's balance rules, and you calibrate its bands from how fights felt at your table.
Can I use this with my group?
Yes. The personal licence covers your own campaigns and sharing the filled-in forms, charter and handouts with your own players. Clubs, shops and organisations running several tables can ask about group licences at solutions@bodhih.com.
Does it work in my country?
The method works anywhere and the workbook handles any currency and time zone. Copyright, privacy, recording, paid-game and safeguarding rules differ by country, so the dated sheet points to official sources for the UK, the US and others, and asks you to check your local rules.
How do I measure my starting point as an organiser?
Running a campaign uses planning and people skills. AssessAll's Project and Delivery Leadership, Estimation and Forecast Calibration and Cross-Cultural and Inclusive Leadership assessments are separate products that measure those skills at work if you want a baseline.
How do I turn the routine into a habit?
Pick one habit, such as the recap within two days, and make an if-then plan for it. Jobulary's guide to the WOOP method shows how to turn a goal like that into a plan you actually follow; the kit's calendar file puts the reminders in your diary.
Can I use AI to help me prep?
Yes, for drafting and sorting. The prompt pack has 26 tool-agnostic prompts. AI must not decide anything about a player's safety, a conflict or what content is right for your table, and you should never paste players' private details into an AI tool.
Is there a refund if it is not for me?
Digital kits are non-refundable once downloaded, except for corrupted files we cannot fix within three working days, duplicate charges or failed delivery. Please read the contents list above before you buy.
How much does The Tabletop Campaign Manager cost?
₹799 including 18% GST for buyers in India, or $24 for buyers outside India. One-time payment, no subscription, with an automatic invoice.
How do I get the files after paying?
Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.
What software do I need?
Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.
Can I get a refund?
Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.
Can my company buy this for a team?
Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
