Quick answer

What records should a small farm keep?

Keep a field register with measured areas, a rotation history by plant family, a season plan with one ID per crop per field per season, and records of inputs, labour, water, harvest, losses, sales and prices tagged with that ID. Then read each crop's gross margin. The Farm Records and Crop Planning Kit from Bodhih Training sets all of this up.

Sound familiar?

You already feel the problem. Here is what it is costing you.

You know what crops sold for, not what they cost

Sales arrive in big bundles; costs leak out in small amounts all year. Without a link between each cost and each crop, every crop seems to make money until someone asks for numbers.

The lender, buyer or scheme wants records you do not have

Field lists, areas, planting dates, yields, sales and a cash plan. Assembling them the night before a deadline from a box of receipts is slow and rarely convincing.

Losses and late payments stay invisible

Produce that rots, prices that slide in a glut and money still owed by buyers are hard to see without weighing, writing and following up.

Rotation drifts and the same mistakes repeat

The best plot gets the same family of crops season after season, and last year's lessons fade before the next planting.

Now imagine this

Picture the next few weeks with the kit open beside you.

Imagine the evening after a long day in the fields. You write five lines in the diary by the door, tag each with a field and crop code, and close the book. On Sunday, as you type the week into the workbook, the dashboard turns one light amber: a buyer is a week late, and a reminder is already drafted in the message library.

When harvest comes, you weigh the losses as well as the good crop, and you notice them early enough to change something before the next pick. When prices slide, your own price history tells you which crop to hold and which to sell today.

And when the season ends, whether you open the Gross Margin sheet first or the season review form, you sit down with the family for one hour and see what each crop really left you per acre and per day of your own work. The decisions you make that day become next season's rotation and plan, written down with an owner and a date.

Picture walking into the bank or the FBO office with six printed pages: fields, gross margin by crop, monthly cash, next season's plan and the sales record. Then let the numbers do the talking.

A taste of Chapter 7

On 22 June 2026 the market queen in Techiman paid 7.00 cedis a kilogram for 1,400 kg of the Mensahs' tomatoes. Ama came home smiling. A week later the price was 5.00. On 7 July it was 3.20, and the shade shed behind the house smelled of tomatoes going soft faster than buyers came. On 17 July a roadside trader took 900 kg at 2.80. By the end of July they had picked 7,000 kg from two acres and thrown away 1,800 kg of it. Harvest is where a season's work turns into money, and where a surprising share of it leaks away. The leaks are of three kinds: produce lost after harvest, prices lower than they needed to be, and money owed but never collected. Records catch all three, but only if you weigh, write and follow up.

Questions buyers ask

The Farm Records and Crop Planning Kit: FAQs

Read the free guideAlready bought? Resend my link

What records should a small farmer keep?

At minimum: a field register with measured areas, a rotation history, a season plan, and records of inputs, applications, labour, harvest, losses, sales and payments, each tagged with the crop and field. The kit's workbook holds all of these and adds them up into a gross margin per crop.

How do I calculate gross margin per acre or hectare?

Add the value of everything the crop produced (sales plus crop kept, valued at a fair price), subtract the variable costs you can allocate to that crop, and divide by its area. The Gross Margin sheet does this automatically from your diary, labour, water, harvest and sales records.

Does it work in my country?

The method works anywhere crops are grown: you set the currency, acres or hectares and your own seasons. Laws and schemes differ, so the dated sheet points to the authorities in selected countries, correct at November 2026. Always check local rules with the official source and your adviser.

Can I use this with my staff, family or FPO members?

Yes, within your own farm or organisation under the personal licence: share printed pages and use the files with the people who work with you. For use across many farms, an FPO, cooperative or company, ask about team and company licences at solutions@bodhih.com.

Does the kit tell me what to spray or how much fertiliser to use?

No. Rates, intervals and safety rules come from the product label, your extension officer or agronomist and your national regulator. The kit helps you record what you did, the same day, including the safe-to-harvest date you took from the label.

Is this financial, legal or agronomic advice?

No. It is educational and practical: a record system and planning tools. Templates are starting points to be checked by a lawyer or adviser. Check your accountant, extension service and local law before you act.

I have no spreadsheet skills. Can I still use it?

Yes. You type in white cells only; grey cells calculate. Every sheet has sample rows to copy, and the paper forms and print pack work on their own if you prefer to type up once a week or not at all.

Will it help me get a loan or a scheme?

It cannot promise any decision. It helps you prepare the records lenders, buyers and schemes usually ask for: field list, gross margin by crop, monthly cash, next season's plan and sales history, plus a cover note and a paperwork checklist.

How can I measure my starting point in planning and estimating?

AssessAll's Small Business Operating Decision Assessment, Estimation and Forecast Calibration, and Demand and Inventory Planning Judgment assessments give you a baseline on the judgement this kit exercises. Take one before your first season with the kit and again after the review.

How do I turn the season review into a plan I actually follow?

Use the review form's commitments with a WOOP-style check: wish, outcome, obstacle, plan. Jobulary's guide to setting goals with the WOOP method shows how to turn each commitment into an if-then plan.

How much does The Farm Records and Crop Planning Kit cost?

₹1,299 including 18% GST for buyers in India, or $34 for buyers outside India. One-time payment, no subscription, with an automatic invoice.

How do I get the files after paying?

Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.

What software do I need?

Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.

Can I get a refund?

Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.

Can my company buy this for a team?

Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
