Run your clinic's front desk with a system, not sticky notes

A complete operations kit for small clinics and practices: templates, reminders, no-shows, registration, recalls, billing, complaints and a monthly review. Business and admin only; your clinicians keep every clinical decision.

  • A 18-sheet Clinic Operations Workbook: session capacity, daily no-show and utilisation, recalls, claims, complaints, rota and three dashboards
  • 50 brand-ready patient messages and 24 phone scripts, including the clinical question the desk must route, not answer
  • Fillable registration, daily desk, complaint, induction and monthly review forms
  • A 6-page print pack for the desk wall: opening and closing checklists, phone cards, a who to call card and waiting-room notices

Quick answer

How do I run a small clinic's front desk well?

Map the patient's route with an owner for each step, let clinicians set session templates, send two reminders, log no-shows daily, register every new patient in seven admin steps, route clinical questions to clinicians, track recalls and claims, and review the numbers monthly. The Clinic Front Desk and Operations Kit from Bodhih Training gives you every tool for that.

Sound familiar?

You already feel the problem. Here is what it is costing you.

Empty chairs you only notice at month end

Patients miss appointments, nobody counts them by clinician or weekday, and the reminder is a text someone sends when they remember. The cost is real but invisible.

A desk that runs on memory

Opening, closing, callbacks, recalls and handovers live in one person's head. When they are off, things slip, and a new starter learns by guessing.

Clinical questions at an admin desk

Callers ask the receptionist what to do about symptoms and results. Without a written rule from your clinicians, the desk either says too much or too little.

Money that never quite arrives

Claims go in late, denials sit unworked, part-paid balances are never chased, and nobody can say how many days the average claim has been outstanding.

Now imagine this

Picture the next few weeks with the kit open beside you.

Picture Monday at 08:45. You open the Clinic Operations Workbook, and the Dashboard already shows last week's no-show rate, which clinician had the most empty slots, and the three recalls that are overdue. The phones are switched to live, the opening checklist is ticked, and the who to call card by the phone has your clinicians' own rules written in.

As you load reminder 1 and reminder 2 into your booking system, the morning's failed messages show up for fixing before they become missed appointments. When a caller asks for advice about a symptom, your receptionist reads the script and routes it to the clinician on duty in under a minute, calmly, the same way every time.

By Thursday the waiting list is filling freed slots. By the end of the month you have a Month Trend line, a claims list with days outstanding, every complaint logged with a response date, and a one-hour review that picks one change to test next month.

Whether you start with the print pack on the wall tonight or the workbook's Settings sheet tomorrow morning, the first hour is mapped out for you, and each file shows a completed example from a three-physiotherapist clinic first.

Measure it

Know your starting point. Prove your progress.

People who measure before and after improve faster and can show it. AssessAll, our sister assessment platform, has AI-graded assessments that pair with this kit. Take one now, work through the kit, then re-take it.

A taste of Chapter 2

A session template is the shape of a clinician's day before any patient is booked: when sessions start and end, how long each appointment type is, where the buffers and admin blocks sit, and which slots are held back for a particular use. The appointment book can only be as good as the template underneath it. Two rules keep this safe. First, slot lengths and held slots are set by clinicians, not the desk. How long an assessment takes, and which slots are kept for on-the-day needs, are clinical decisions. Second, the desk books exactly what the template says. Squeezing a longer appointment into a shorter slot to fit someone in is how clinics end up running late all afternoon.

Questions buyers ask

The Clinic Front Desk and Operations Kit: FAQs

Read the free guideAlready bought? Resend my link

Is this kit medical or clinical advice?

No. It is educational and covers business, administration and communication only. It contains no diagnosis, treatment, dosing or triage rules. Wherever the desk meets clinical care, the kit says to follow your local protocols, the prescriber, your professional regulator and your employer's policy, and leaves a blank box for your clinicians to write your clinic's own rule.

Can I use this with my staff?

Yes. Within your own clinic or practice you can use the tools, forms, scripts and print pack with your team under the personal licence. Company, group and multi-site licences are available from solutions@bodhih.com.

Does it work in my country?

The method is universal: templates, reminders, registration steps, recalls, claims tracking and complaints handling work in any country and any currency. The dated sheet names health-data, clinic registration, digital health and messaging rules for India, the UK, the US, Australia, Singapore, the UAE, Canada and several others, correct at October 2026. Laws and payer rules still need checking locally with your regulator and adviser.

How do I reduce no-shows in a clinic?

Measure first, by clinician and weekday. Then send two reminders with an easy way to rearrange, fix wrong contact details, keep a waiting list to refill freed slots, follow up missed appointments kindly the same day, and write one fair policy that patients see before they book. Chapter 4 and the calculator walk you through it.

What is a good no-show rate for a clinic?

There is no universal figure: rates differ by specialty, country, patient group and how you count. The kit's Numbers that matter card asks you to set your own target from your first eight weeks of data, with your clinicians, and to watch the trend month by month.

Does it work with my practice management system?

Yes, alongside it. The workbook takes the daily numbers your system already holds (booked, attended, did not attend, cancellations) and turns them into rates and flags. Message templates and scripts load into any booking or messaging platform. Chapter 1 explains what to ask of any system.

Do the files contain any real patient data?

No. All sample rows are from a fictional composite clinic and use patient IDs, not names. The workbook is designed to work with IDs from your own system, and the kit asks you to check your health-data and privacy law before storing anything.

How do I measure my front-desk team's starting point?

AssessAll offers separate assessments that fit this kit: The Front Desk: Judgment When Everything Arrives at Once, Patient & Family Communication Judgment, and Customer Aggression and De-escalation Assessment for Frontline Staff. They are not included in the kit; links are on the Start-here map.

How can I turn this into a development plan for a receptionist or practice manager?

Use the four-week induction checklist and the monthly review to spot the skills to grow, then see how a Jobulary development plan works at jobulary.com/how-it-works to turn them into a plan with steps and dates.

Can AI tools help at the clinic desk?

Yes, for drafting messages, rewriting leaflets, translating notices, summarising anonymised numbers and practising difficult calls. The prompt pack has 28 prompts. Only use tools your clinic has approved, never paste patient-identifiable information into tools not approved for health data, and have a person check every output.

How much does The Clinic Front Desk and Operations Kit cost?

₹1,299 including 18% GST for buyers in India, or $34 for buyers outside India. One-time payment, no subscription, with an automatic invoice.

How do I get the files after paying?

Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.

What software do I need?

Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.

Can I get a refund?

Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.

Can my company buy this for a team?

Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
