Quick answer

How do you start a home care agency?

Define your service, patch and funders; price an hourly rate that covers pay, travel, on-costs and overheads; run registration as a project; recruit for values with every check logged; plan runs by patch; then monitor visits and review quality monthly. The Home Care Agency Starter Kit by Bodhih Training gives you the workbook, forms and templates.

Sound familiar?

You already feel the problem. Here is what it is costing you.

A price that quietly does not work

Copying a competitor's rate looks safe until you count travel time, holiday pay, training and the office. The shortfall comes out of your workforce first.

Registration that drags on

Requirements arrive one at a time, the slowest checks start last, and months slip. Without a plan with owners and dates, nobody sees the delay until it costs you.

Rotas that drive people away

Runs built by availability send workers across town and give clients new faces every week. Good people leave, and missed visits follow.

Records in a drawer and a memory

Late visits, incidents, complaints and spot checks live in different places, so patterns go unseen until an inspector, a commissioner or a family asks how you know.

Now imagine this

Picture the next few weeks with the kit open beside you.

Imagine it is a wet Tuesday at 07:10 and a care worker has a flat tyre two streets from her first visit. You open the Roster and see who is nearest and who knows the client. You check the run calculator to see which later visits can move. You send the late-visit message from the library and log the reason on Visit Monitoring before your coffee goes cold.

Now picture the first week after you buy. As you open the Home Care Agency Workbook and type your pay rate, mileage and minimum visit length on Settings, the Rate Builder shows your full cost per hour and the hours you need each week to break even. When you go through the Registration Plan, the slow items move to the top, each with an owner and a date.

By the end of your first month, your advert says pay, travel, patch and car in its first three lines, your policies are being commissioned from real guidance, and the who-to-call card is in every worker's pocket. By the third month, the Monthly Governance sheet shows hours delivered, missed and late visits, continuity and turnover, and your review ends with three actions instead of a long worry list.

Whether you start with the rate tonight or the registration plan tomorrow morning, each chapter tells you the file to open and the first thing to type.

A taste of Chapter 6

A run is the sequence of visits one care worker does in a shift. In Melbourne's eastern suburbs, Chloe's coordinator had built runs by availability: whoever was free at 08:00 got the 08:00 visit. Her workers spent their mornings crossing the same freeway three times. Clients saw six different faces in a fortnight. Two good workers left in the same month, both citing "the driving". Rostering is where your price, your workforce and your care quality meet every day. A good roster is not the one that fills every visit; it is the one that fills every visit with sensible travel, the same small team for each client, and enough slack that one flat tyre does not break the morning.

Questions buyers ask

The Home Care Agency Starter Kit: FAQs

Read the free guideAlready bought? Resend my link

Can I use this with my staff?

Yes. Within your own agency you can print the pocket cards and posters, share the templates and messages with your team, and use the workbooks across your office under the personal licence. For a group of agencies, a franchise network or a company-wide licence, contact solutions@bodhih.com.

Does it work in my country?

The method works anywhere home care is delivered: price, register, recruit, roster, monitor and review. The workbooks take any currency and miles or kilometres. Registration, employment, data and funding rules differ and change, so they sit in a dated sheet covering England and the UK, the US, Australia, India, the UAE, Singapore, Canada and others. Always check your regulator and adviser.

Is this care, clinical or legal advice?

No. It is educational content and admin tools for running the business side of an agency. Assessment, care planning, medicines support and any clinical task are for appropriately qualified people following local protocols, the prescriber, your professional regulator and your agency's policies. Agreements are discussion sheets for your lawyer.

Does the kit include ready-made policies?

It includes a commissioning checklist of 47 policy and procedure titles with where to start reading, and a tracker for approval and review. It deliberately contains no policy text, because policies must match your regulator's current guidance and your actual practice, and should be checked by someone qualified.

How much should a home care agency charge per hour?

Enough to cover care worker pay, paid travel time, mileage, on-costs such as holiday pay and employer taxes, training and supervision time, overheads and a margin. The Rate Builder calculates it from your own figures and shows your break-even hours. The right rate depends on your area, pay rates and funders.

Do I need care management software or an EVV app?

Not to start. The workbook covers rostering and visit monitoring by hand for a small agency. Many agencies move to care management software with app check-ins as they grow, and in the US electronic visit verification is required for Medicaid personal care and home health services. The kit's sheets mirror what those systems record.

Will this kit get me registered or bring in clients?

No kit can promise registration, clients or income. It gives you the plans, records, templates and routines to prepare well and run consistently; decisions rest with your regulator, your funders and your market.

How can I measure my team's starting point?

AssessAll offers separate assessments that fit this work: the Workplace Integrity & Reliability Screen for care worker hiring, Interviewer Judgment & Hiring Bias for the people who interview, and Shift Handover & Continuity Judgment for coordinators and on-call staff. They are sold separately at assessall.com.

How do I turn this into a development plan for a coordinator or senior worker?

Use supervision notes and spot check findings to pick two or three skills, then build a plan with dates and support. Jobulary's article 'A development plan that survives week six' shows how to make one that lasts: jobulary.com/blog/individual-development-plan-that-survives-week-six.

Is there a sample case so I can see what good looks like?

Yes. Every sheet has SAMPLE rows from a composite agency in Leeds that grows from 5 to 25 clients in six months, and the worked example pack shows the forms and the monthly review completed for that case. The figures are illustrative, not a forecast.

How much does The Home Care Agency Starter Kit cost?

₹999 including 18% GST for buyers in India, or $29 for buyers outside India. One-time payment, no subscription, with an automatic invoice.

How do I get the files after paying?

Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.

What software do I need?

Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.

Can I get a refund?

Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.

Can my company buy this for a team?

Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
