Quick answer

How do you exhibit at a trade fair successfully?

Set one objective, choose the show on audited evidence, budget every cost and work out the orders needed to pay back, plan six months ahead, fill your diary before you travel, brief the team, grade every lead A to X, follow up within 48 hours and track orders for twelve months. The Trade Fair Exhibitor Kit from Bodhih Training gives you a file for each step.

Sound familiar?

You already feel the problem. Here is what it is costing you.

A big bill and a bag of business cards

Stand space is only part of the cost. Without a full budget and a break-even figure before booking, it is easy to spend a year's marketing money on a week with no way to judge it.

The wrong show, or the wrong hall

Visitor totals look impressive until you learn most visitors are from sectors you do not sell to. Choosing on audited breakdowns and past exhibitors' experience takes a few emails most exhibitors never send.

Badge scans with no notes

On day four nobody remembers who wanted what. Without a grade and a one-line note for every conversation, follow-up becomes guesswork and the best leads wait behind the worst.

Follow-up that starts after the jet lag

Buyers go home to dozens of exhibitor emails. The ones that arrive first, are specific and keep their promises get the meeting. A ten-day sequence by grade makes that routine.

Now imagine this

Picture the next few weeks with the kit open beside you.

Picture the evening you book your next show. Before you sign, you open the Show Return Calculator, type the stand price and every other cost, and read the number of orders the show needs to pay back. You decide with your eyes open.

As the weeks pass, the Timeline sheet tells you what is due, the manual deadlines are logged the week they arrive, and two invitation waves fill the diary. When you brief the team, everyone has the same message, the same questions and the same lead-grading card in their pocket.

Now imagine the last evening of the show. The debrief takes fifteen minutes, every lead is graded, and the day 1 messages to your A and B leads go out from the hotel before dinner. Ten days later, each serious buyer has a proposal or a next step and an owner.

Whether you start with the show scoring sheet tonight or the calculator tomorrow, the kit gives you a file for each step, so the first show you run this way also teaches the next one.

A taste of Chapter 3

The Break-even sheet then answers the question that matters: how many orders would this show need to produce to cover its cost? For Lakshmi, at an average first order of 380,000 rupees and a 38% margin, each order contributes 144,400, so the show needs about twelve orders to pay for itself. With a realistic win rate on qualified leads of one in five, that means about forty qualified leads. The Capacity sheet checks whether that is possible. Five days, nine hours a day, two people free to talk and one and a half real conversations each per hour gives about 135 conversations. If 30% are qualified, that is about 40. The numbers just meet. That is why Lakshmi set her target at 40 qualified leads, not 100, and why she stopped thinking about a bigger stand. More space without more people does not create more conversations.

Questions buyers ask

The Trade Fair Exhibitor Kit: FAQs

Read the free guideAlready bought? Resend my link

Can I use this with my staff?

Yes, within your own business under the personal licence: brief your stand team, share the forms and print the pack for your stand. Company and multi-site licences are available from solutions@bodhih.com.

Does it work in my country?

The method works for any show in any country, and the workbook and calculator use whatever currency you type. Country-specific rules on carnets, support schemes and visas are kept in one sheet dated October 2026 that covers named countries. Customs, visa and data protection rules change, so check them locally before you act.

How do I choose the right trade show?

Start with one objective and a list of the buyers you need. Ask organisers for audited visitor figures broken down by country, sector and job role, speak to past exhibitors who sell what you sell, and visit as a visitor if the evidence is thin. The workbook scores each show on six weighted criteria.

How much does it cost to exhibit at a trade fair?

It varies widely by show, country, stand size and how far you travel. Space is often well under half the total once you add stand build, graphics, shipping, travel, hotels, staff and samples. The kit's budget sheet covers every category and the calculator shows the orders you would need to cover the cost.

How do I measure trade show ROI?

Track orders and contribution from show leads for twelve months, then compare contribution with the total show cost. Read it alongside cost per qualified lead and cost per qualified meeting. The Return Tracker and Show Return sheets calculate all of these.

How soon should I follow up after a trade show?

Within 48 hours for your best leads, then a short sequence over ten days: recap, the thing you promised, a call, and a proposal or clear next step. The message library has the words for each touch by lead grade.

Do I need an ATA Carnet for my samples?

Often it is one good option for taking exhibits and samples abroad and bringing them back without paying import duties, but not every country or every item fits. Ask your freight forwarder and your national carnet issuer early. The dated rules sheet explains the basics and names issuers in several countries.

Does the kit promise orders or sales?

No. It gives you methods and tools to plan, run and measure a show well. Results depend on your product, your market, the show and many things outside anyone's control.

How can I measure my starting point?

If you want to measure your starting point, AssessAll offers related assessments sold separately: Prospecting Discipline, Negotiation Fundamentals: Concessions, Trades and the Walk-Away, and the Presentation Delivery Assessment with a Spoken Round. They suit the people who will prospect, negotiate and present on your stand.

How do I turn this into a development plan?

Use the 30/60/90 day plan for the show itself, and for the people, turn each habit into an if-then plan: if a buyer stops at the stand, then I ask an opening question. Jobulary explains how if-then plans make habits stick at work.

How much does The Trade Fair Exhibitor Kit cost?

₹999 including 18% GST for buyers in India, or $29 for buyers outside India. One-time payment, no subscription, with an automatic invoice.

How do I get the files after paying?

Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.

What software do I need?

Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.

Can I get a refund?

Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.

Can my company buy this for a team?

Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
