Quick answer

How do you run a residents' or housing society association well?

Agree roles with a backup for each, set charges from a written budget shared by area, per home or a hybrid, collect dues with the same private steps for everyone, keep a cash book with two approvers and a monthly bank reconciliation, review vendors quarterly and run the AGM by your bye-laws. Bodhih Training's Residents' Association and Housing Society Kit gives you the tools for each step.

Sound familiar?

You already feel the problem. Here is what it is costing you.

Everything lives in a group chat and two people's heads

Requests, complaints, notices and arguments all land in the same WhatsApp group. When the secretary or treasurer steps down, the records leave with them.

Every charge increase becomes a fight

Members cannot see how the charge was built, so the AGM argues about fairness for an hour. Bigger and smaller homes each feel they subsidise the other.

Arrears grow while the committee hesitates

Some members want names on the notice board; others want to do nothing. Without a fair process, the same homes fall further behind and trust erodes.

Contracts and safety checks drift

Lift, security and housekeeping contracts renew without review, tank cleaning slips, certificates expire, and nobody notices until something fails.

Now imagine this

Picture the next few weeks with the kit open beside you.

Imagine the first Sunday of next month. Instead of scrolling through 200 messages, you open the Association Workbook and look at one dashboard: collection rate, arrears by band, open requests past target, contracts ending soon and equipment due. Ten minutes, and you know what the committee needs to discuss.

As you open the Collection Ledger, each home already shows its reminder stage. You send the same friendly message to every home in the same band, privately, from the message library. When one owner tells you about a lost job, you agree a hardship plan in writing and the late fee pauses on its own.

When the lift contract comes up for renewal, you send the same scope to three vendors, score their quotes on the Quotes sheet and minute the decision with any conflicts declared. When the AGM comes round, you follow the ten-week timeline, show members three ways to split the budget, and bring the reserve gap to them years before it bites.

And whether you start with the workbook tonight or the who-to-call card tomorrow morning, the files you fill in become records the next committee can pick up in an evening.

Outcomes

When you have worked through it, you will be able to…

Every outcome is practised with a worked example and a tool, not just described.

  • Set up shared records the association owns, so any committee member can find and hand over the work
  • Build a budget by head and show members three fair ways to share it before they vote
  • Collect dues with the same private steps for every home and agree hardship plans in writing
  • Keep a cash book with two approvers and sign off a bank reconciliation every month
  • Specify, compare, review and renew vendor contracts on a calendar
  • Keep lifts, pumps, tanks, fire equipment and certificates on schedule
  • Handle neighbour disputes privately, with mediation and a safety exit, and enforce rules fairly
  • Call and run a valid AGM, record decisions and bring major repairs to members with the reserve picture
Measure it

Know your starting point. Prove your progress.

People who measure before and after improve faster and can show it. AssessAll, our sister assessment platform, has AI-graded assessments that pair with this kit. Take one now, work through the kit, then re-take it.

A taste of Chapter 4

Most arrears start with confusion. Send every home the same bill on the same day, with the amount, the due date, how to pay and the reference to use (the unit number). Make paying easy: bank transfer, UPI or a payment app where you live, cheque for those who need it. Match every payment to the unit within a few days, and send a receipt. The Collection Ledger in the workbook does the arithmetic. For each unit it shows the monthly charge (from the Units sheet), what has been billed this year, what has been paid (from the Cash Book), the balance, the months outstanding and the arrears band: paid up, up to one month, one to three months or over three months.

Questions buyers ask

The Residents' Association and Housing Society Kit: FAQs

Read the free guideAlready bought? Resend my link

Can I use this with my committee, facility manager and staff?

Yes. Within your own association, your committee, facility manager and site staff can use the files under the personal licence. Company, multi-site and property-management licences are available from solutions@bodhih.com.

Does it work in my country?

The method works anywhere: budgets, fair collection, books, vendors, disputes and meetings are the same job everywhere. The dated rules sheet points to where to look in India, the UK, the US and Canada, Australia, Singapore and Dubai. Association, strata, tax and data laws differ by state and change, so check your registrar and adviser.

Are the bye-law starter and letters legally valid documents?

No. They are plain-words starting points and discussion sheets. Your governing document and law decide what the association can do, and a lawyer or your registrar should check anything you adopt or send in a formal dispute. The kit is educational, not legal, tax or financial advice.

How do I calculate maintenance charges for my society?

Build a budget by head, decide which costs are shared by area and which equally per home, add a reserve contribution, and divide. The workbook's Budget and Units sheets do this per home, and the calculator shows members the all-by-area, equal and hybrid options side by side.

How should a committee handle members who do not pay?

Use the same private steps for every home: a friendly reminder, a second reminder with a call, a formal letter, then a committee review. Offer a written hardship plan on equal terms. Never publish names or cut services. The Collection Ledger shows each home's stage.

Does it work for an HOA, condo or strata committee?

Yes. The roles, budget, reserve, vendor, dispute and meeting tools fit HOAs, condo associations, owners corporations and MCSTs. Use your own declaration or strata law's terms for levies, special assessments and resolutions.

Can I use AI with it?

Yes, for drafting notices, minutes, translations and quote comparisons. The prompt pack has the prompts and a human review rule: AI drafts, a committee member decides, and residents' personal data never goes into a prompt.

Does it cover festivals, membership drives or landlord tenancies?

It includes a small in-society celebration notice and volunteer asks. Large public festivals and membership growth for voluntary associations are outside its scope, and landlords' tenancies are covered by The Rental Property Management System.

How can I measure my starting point as a committee member?

AssessAll offers separate assessments that fit this job: Conflict Navigation & Resolution for disputes, Meetings That Decide Things for chairing, and the Document Reconciliation and Error-Checking Assessment for treasurers. They are not included in the kit.

How do I turn this into a development plan that sticks?

Pick one habit, such as the monthly reconciliation or the Sunday dashboard review, and write it as an if-then plan. Jobulary's guide to implementation intentions explains how: https://jobulary.com/blog/implementation-intentions-if-then-plans-at-work

How much does The Residents' Association and Housing Society Kit cost?

₹1,299 including 18% GST for buyers in India, or $34 for buyers outside India. One-time payment, no subscription, with an automatic invoice.

How do I get the files after paying?

Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.

What software do I need?

Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.

Can I get a refund?

Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.

Can my company buy this for a team?

Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
