Quick answer

How do you run a PTA well?

Agree the PTA's purpose with the head teacher in writing, keep a short constitution with two signatures and two cash counters, plan the year around the school calendar, ask volunteers personally for small jobs, fundraise without suggested amounts, reconcile the bank monthly and hand over in writing at the AGM. Bodhih Training's Parent-Teacher Association Kit has the templates.

Sound familiar?

You already feel the problem. Here is what it is costing you.

Everything lands on the committee's table

Complaints about teachers, roof repairs, chat-group rows: without an agreed purpose, meetings run for hours and decide nothing, and the head teacher stops coming.

The same five people do everything

General appeals for volunteers produce silence. The regulars burn out, and nobody stands for treasurer at the AGM.

The money is hard to explain

Receipts in a shoebox, costs paid from takings, a bank balance that never quite matches. Then a parent asks on social media where the money went.

Events carry risks nobody planned for

Unlabelled food, photos posted without consent, a child separated from a parent, a raffle or bar run without checking the rules.

Now imagine this

Picture the next few weeks with the kit open beside you.

Picture the first committee meeting of the year. You open the PTA Workbook, the Settings sheet already shows your school's terms and your net target, and the Year Plan has the school's dates in first. The meeting ends in an hour, with every decision minuted and a reference on it.

As you print the cash count sheet and drop five copies into the cash tin, notice how simple the winter fair count becomes: two people, one table, both sign, sealed and banked on Monday. When the bank reconciliation shows zero at the end of the month, you will wonder why it ever took two evenings.

Imagine a new parent at the school gate saying yes to an hour on the cake stall, because the ask was specific and easy to refuse. Imagine the class chat group staying friendly because the rules were pinned on day one.

And picture the AGM: accounts examined, a shadow ready for every role, the handover written down. Whether you start with the workbook tonight or the working agreement tomorrow, you are building a PTA the next committee can pick up and run.

Best for
Volunteer officers of PTAs, PTOs, parents' councils and friends-of-school groups
  1. What a PTA Is For, and Agreeing It With the School

Agree the PTA's narrow purpose with the head teacher in a one-page working agreement: what the PTA does, what the school decides, and who to call.

  2. Rules, Roles and a Committee You Can Hand Over

Constitution, quorum, officers, the two-signature rule, conflicts of interest and role descriptions you can hand over, with structures compared by country in general.

  3. A Year Plan That Follows the School Calendar

Build the year in three layers: school dates first, the PTA's rhythm second, events third, with the budget and a net target shaped by the school's wish list.

  4. Volunteers: Asking Well and Keeping People

The volunteer ladder, time-light and from-home roles, personal asks, working parents, fathers and grandparents, and the school's rules on volunteer checks.

  5. Events That Welcome Everyone

The event plan and risk checklist: school agreement, roles, money, food and allergens, photography, the lost child procedure, licences and the debrief.

  6. Fundraising That Nobody Feels Pressured By

Inclusive fundraising with no suggested amounts or lists of givers, many small income sources, and tracking net and the cost-to-raise ratio.

  7. The Treasurer's Books and Spending Decisions

Two counters, banking in full, a referenced cash book, monthly bank reconciliation, the year-end account, and spending requests decided with the school and minuted.

  8. Communication, Class Reps, Inclusion and Data

A communications rhythm, plain words and translations, class reps and chat-group rules, inclusion, data protection for parent lists, and AI with human review.

  9. Safeguarding, Complaints and Parent Conflict

Safeguarding belongs to the school's designated safeguarding lead; the who-to-call card; complaints about the PTA and the school; conflict inside the committee.

  10. The AGM, Elections and a Clean Handover

Succession planned all year, the AGM run simply with the quorum checked, accounts examined, and a written handover with signatories and passwords changed.

A taste of Chapter 7

A PTA treasurer does not need accounting training. She needs five habits, and the committee needs to protect them. 1. Two people count cash, together, the same day. Two unrelated people, at one table, before anyone takes the cash home. Both sign the count sheet. This protects the counters as much as the money. 2. Bank takings in full; pay costs from the bank. Never pay an expense out of the cash tin. If the takings are banked whole and every cost is paid from the bank against a receipt, the count, the bank and the cash book always agree. 3. Every line in the cash book has a reference. A receipt number, a count sheet reference or a bank reference. No reference, no entry; no receipt, no reimbursement.

Who it’s for

Made for you if…

  • Chairs, presidents, secretaries and treasurers of PTAs, PTOs, P&C associations, parent support groups and friends-of-school groups
  • Parents who have just been elected, or talked into a role, and inherited a shoebox instead of a system
  • Treasurers who want a cash book, count sheets and a bank reconciliation that a volunteer can keep in an hour a week
  • Class rep coordinators and volunteer coordinators who want more people helping for less time each
  • Head teachers and link teachers who want a clear, written working relationship with their parents' association
  • Committees in any country: India, the UK, the US, Canada, Australia, Singapore, the GCC, Africa and beyond
Being honest

Probably not for you if…

  • Large public festivals with outside traders and road closures (they need a full event-safety plan with your local authority)
  • Formal charity boards, grant programmes or donor fundraising at scale (see The Nonprofit Board Governance Pack and The Fundraising Campaign and Event Kit)
  • Anyone looking for legal, tax or safeguarding advice: the kit works inside your school's policies and points to the official sources

Questions buyers ask

The Parent-Teacher Association Kit: FAQs

Read the free guideAlready bought? Resend my link

How do I start running a PTA if I have never done it before?

Start with the Start-here map and do the first hour: fill in the workbook's Settings, type the school's dates into the Year Plan, brand the templates and book a meeting with the head teacher to agree the working agreement. The e-book takes you through the rest of the year chapter by chapter.

Can I use this with my committee, volunteers and class reps?

Yes. Under the personal licence you can use and share the files within your own PTA or association: with your committee, volunteers, class reps and the school staff you work with. For a federation, a group of schools or multi-site use, ask about company and multi-site licences at solutions@bodhih.com.

Does it work in my country?

The method works anywhere: a working agreement, a constitution, two cash counters, a year plan and a clean handover are universal. The dated rules sheet covers the UK, US, Canada, Australia, India, Singapore, the UAE and others in general terms, but registration, raffle, alcohol, food, safeguarding and tax rules differ by country and state and change, so check them locally.

Is this legal, tax or safeguarding advice?

No. The kit is educational. The constitution starter and agreements are discussion sheets, not legal documents, and safeguarding always belongs to the school's designated safeguarding lead. Check your school's policies, your registrar or regulator, your local authority and a qualified adviser.

What does a PTA treasurer actually need to do?

Keep a cash book with a reference for every line, make sure two people count all cash and both sign, bank takings in full, pay costs from the bank with two authorisers, reconcile the bank monthly, and prepare a simple year-end account for an independent examiner. The workbook and the AGM pack cover each step.

How do we get more parents to volunteer?

Ask people personally for a specific job of 60 to 90 minutes, offer roles that can be done from home or in the evening, invite fathers, grandparents and families who speak other languages directly, and thank people by name within a week. Chapter 4 and message library group 2 have the method and the words.

How can we fundraise without making families feel pressured?

Remove suggested amounts and lists of who gave, give every event a free way in, spread income across many small sources such as second-hand sales, matched giving and wish lists, and tell families what their money did. Chapter 6 and message library group 5 show how.

What should the PTA do if a volunteer is worried about a child?

Tell the school's designated safeguarding lead the same day, without investigating or promising secrecy. The print pack includes a who-to-call card for the school to fill in with its own names and contacts, and Chapter 9 explains the steps.

How can I measure my own starting point as a committee member?

If you want to measure the skills behind the role, AssessAll has assessments that fit it: Stakeholder Management & Influence, Meetings That Decide Things, and Inclusive Decision-Making and Everyday Bias. They are separate products, not part of the kit.

How do I turn my goals for the PTA year into a plan I keep?

Write one or two goals for the year with the committee, then use the WOOP method (wish, outcome, obstacle, plan) explained on Jobulary to turn each into an if-then plan. Read it at jobulary.com/blog/woop-method-for-professional-goals.

How much does The Parent-Teacher Association Kit cost?

₹999 including 18% GST for buyers in India, or $29 for buyers outside India. One-time payment, no subscription, with an automatic invoice.

How do I get the files after paying?

Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.

What software do I need?

Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.

Can I get a refund?

Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.

Can my company buy this for a team?

Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
