Quick answer

How do I increase membership renewals in a volunteer association or alumni group?

Treat renewal as a sequence, not one email: a heads-up 60 days before, an invitation with the payment link at 30 days, a last call at 7 days, then a grace reminder and a personal call. Welcome new members properly and track the renewal rate monthly. The Membership and Alumni Association Kit from Bodhih Training gives you the workbook, messages and forms to do it.

Sound familiar?

You already feel the problem. Here is what it is costing you.

Nobody knows how many members you have

The list lives in an old spreadsheet, a payments file and a messaging group. Each gives a different number, and nobody knows who agreed to receive what.

Renewals rely on one email and good luck

One reminder goes out once a year, and members who miss it drift away. Not in anger: they simply forget, move or never see the value.

The same five people do everything

Chapters depend on one tired volunteer. Nobody has been asked to help with anything specific, and handover happens in a panic the week before the AGM.

Decisions without numbers

Dues, lifetime prices and new tiers are argued from opinion. The committee cannot see whether things are getting better or worse.

Now imagine this

Picture the next few weeks with the kit open beside you.

Picture the first Monday evening after you open the kit. You type your association's name on the Settings sheet, paste in the member list and watch every renewal date and status fill itself in. For the first time, you know the real number.

As you sort the Members sheet by days to renewal and send the stage 2 invitation to the first five names, notice how little it takes: the message is written, the stage is calculated, the response gets logged in one click.

Imagine the next committee meeting. Instead of guessing, you open the Dashboard: renewal rate in amber, event attendance in green, one quiet chapter in red. The conversation is about three specific actions, not about who remembers what.

And when the AGM comes, whether you are standing again or handing over, the workbook, the message library and the calendar go to the next person with a five-line note. The system stays, even when the volunteers change.

Outcomes

When you have worked through it, you will be able to…

Every outcome is practised with a worked example and a tool, not just described.

  • Build one member register with consent recorded for each use of data
  • Set tiers and dues with lifetime value numbers instead of opinions
  • Run a four-stage renewal sequence and a respectful three-step win-back every week
  • Welcome new members with a 90-day sequence that names real value at renewal
  • Score engagement and send a specific next ask at each rung of the ladder
  • Plan events on one sheet with break-even, safety, safeguarding and a welcome desk
  • Launch and support chapters with two leads, clear rules and a handover plan
  • Run an AGM and hand over roles with a checklist

A taste of Chapter 1

Every association needs a member promise: one sentence that says who you are for and what membership gives them, followed by a short list of what that means in practice. People sometimes call it the member value proposition. The words matter less than the test: when a member reads it, do they nod? A good promise is specific and modest. "Westbrook alumni stay connected to each other and to the college, wherever they live" is better than "a vibrant global community of excellence". The first can be tested. The second is wallpaper. The promise then sets the work. Promise connection wherever members live, and you need chapters or online meetups. A promise you cannot keep is worse than none, because members notice the gap at renewal.

Questions buyers ask

The Membership and Alumni Association Kit: FAQs

Read the free guideAlready bought? Resend my link

How do I increase membership renewals?

Send renewals as a sequence rather than one email: a heads-up about 60 days before, an invitation with the payment link at 30 days, a last call at 7 days, and a grace-period reminder plus a personal call. Track renewed divided by renewals due every month. The kit's Renewals sheet calculates each member's stage for you.

Can I use this with my committee and volunteers?

Yes. Use the files within your own association under the personal licence: share the workbook with your committee, the handbook with chapter leads and the messages with whoever sends them. Licences for multi-chapter networks, federations or institutions running several associations are available via solutions@bodhih.com.

Does it work in my country?

The method works anywhere, and the workbook runs in any currency and financial year. Data protection, association registration and messaging rules differ by country: the dated rules sheet covers the main ones (EU, UK, India, US, Canada, Australia, Singapore, UAE and several African countries) in general terms, and you should check the specifics with your registrar, regulator and adviser.

Is this legal or financial advice?

No. The kit is educational. Forms, consents, AGM papers and the dated sheet are starting points, not legally valid documents. Check your constitution, your data protection law, your accountant and a qualified adviser before relying on them.

We already use membership software. Is the kit still useful?

Yes. The method (tiers, the renewal sequence, win-back, the engagement ladder, chapters, the AGM cycle) works with any tool, and the messages and forms drop straight into it. Many teams use the workbook for the dashboard and planning even when payments run through a platform.

How should we price a lifetime membership?

Compare the price with the annual dues it replaces, net of what a member costs you to serve each year, and keep part of every lifetime payment in a separate fund. The calculator's Lifetime Price Check shows the break-even years and whether the yearly draw covers the cost to serve.

How do we start a new city chapter?

Find two leads, not one, and have the committee agree the chapter's purpose, money, data and branding rules before launch. Keep the first event simple, set a predictable rhythm and plan the handover in year one. The Chapter Leader Starter Checklist and Handbook walk through it.

Can we use AI to write our newsletter and messages?

Yes, for drafts. The prompt pack has prompts for newsletters, renewal messages, survey themes and minutes. A named person checks every fact and sends; never paste member names, contact details or payment data into an AI tool.

How can I measure my starting point?

Before you start, measure your starting point with AssessAll assessments (separate products): Employee Engagement Driver and Priority Assessment for Employees and Human Resources Teams, Business Email Tone and Etiquette Assessment for Office, Support and Early-Career Staff and Personal Data Judgment, for the engagement, communication and data-handling sides of the job.

How do I turn this into a development plan for myself?

Taking on a membership role is a fresh start. Jobulary's article on the fresh-start effect (jobulary.com) shows how to use one to reset a goal, and Jobulary can turn what you learn here into a development plan.

How much does The Membership and Alumni Association Kit cost?

₹999 including 18% GST for buyers in India, or $29 for buyers outside India. One-time payment, no subscription, with an automatic invoice.

How do I get the files after paying?

Instantly. Your download page opens the moment payment succeeds, and a permanent download link is emailed to you. Download each file separately or everything in one ZIP.

What software do I need?

Any of the usual tools: Excel or Google Sheets for spreadsheets, Word or Google Docs for templates, Adobe Acrobat Reader, Preview, Xodo or GoodNotes for the fillable PDFs, and Google, Outlook or Apple Calendar for the calendar plan.

Can I get a refund?

Because it is a digital download, kits are not refundable once downloaded. We always refund a duplicate charge or a failed delivery, and if a file is corrupted and we cannot fix it within 3 working days. Full terms: bodhih.org/refunds.

Can my company buy this for a team?

Yes. Team and company licences, and workshops on this topic run by Bodhih Training, are available. Write to solutions@bodhih.com or call +91 99000 11601.
